  2. Material documentsList material reports or traceability documents that the project requires to be confirmed.
  3. Inspection and test recordsState the required inspection or test report type and any buyer review or witness requirement.
  4. CertificatesName the exact certificate or declaration required and keep its status separate from a listed product standard.

  6. Third-party coordinationState any requested inspection body, hold point, witness point, or document review step for confirmation.

Buyer Questions

Does a listed API, ISO, EN, DIN, or JIS standard prove a certificate is available?

No. A listed standard describes a specification. Certificate and report status must be confirmed separately for the quoted product.

When should document requirements be sent?

Send them with the RFQ so each required document can be checked before the quotation scope is confirmed.

How should an unknown document status be recorded?

Mark it for confirmation. Do not convert an unverified document requirement into an available or approved status.

Prepare the Inquiry

Use the checklist to organize known requirements and mark missing fields for confirmation.
